The laboratory department of Aspetar hospital is using ultra centricity as an information system. This study is devoted to assessment of some points which may present some drawback or benefit in the information system. In order to achieve this objective, the Pieces Framework is applied. It helps to identify critical problems regarding the system performance, information, control, efficiency and service.

Once the problems have been identified and analyzed, there are some recommendations that IT department may take into consideration, and thereby add efficiency to the current information system.

The Pieces Framework

Performance

Throughput:

Considering the system throughput it seems that the system provides information adequately. However, it is revealed that the system lacks flexibility. Thus, multiple windows are needed to be able to identify the patient. As a result, the system requires more time to retrieve the patient and order data. One more drawback becomes apparent when an employee needs to transfer the test result from the instrument to the system during peak times. More time is required to display data. For this reason, employees need to wait until the system provides them with the necessary information. Broadly speaking, this approach is not efficient especially during peak times when data results should processed quickly and transferred to proper department for further investigation. The reason for this problem can be in the system itself or network capacity. The system can delay throughput due to overloaded database. Therefore, it is recommended to keep track of all transactions that may prevent employees from receiving data timely and on demand.

Information

Outputs:

When an employee tries to obtain statistical data, the system does not always provide precise and accurate information. The lack of relevant information may lead to misunderstanding and wrongful activities of administrative staff. Moreover, it may affect the preparation of erroneous reports that can be disruptive for the department in general. One of the essential disadvantages is the fact that test reports are not compliant with international and accreditation standards. As a result, information requested by the employee is presented in a wrongful format. The lack of necessary information is identified. Data stored in the information system should correspond to the needs of employees and reflect all correlations within the system in order to find a certain record in accordance with data, test result, and other parameters.

Stored data:

The system cannot be referred to flexible ones, as the possibility to track individual entry within each order is not provided. When an employee needs to track individual entry, he/she needs to track it by the acquisition number; however, it cannot be tracked by the test number. Therefore, employees often waste a considerable amount of time getting individual entry in accordance with available parameters.

The organization and management of stored data does not correspond to the current needs of …
