Dear Kaleigh,

I recently hosted a one-day business retreat for all my staff at your business premise. I have always counted on your conference facility due to the exceptional technical and catering services. The company charged me 4000 dollars as the total cost of all the services required. I made an initial deposit of 800 dollars for catering costs and room booking, hence remaining with a balance of 3,200 dollars, payable after the event. After the retreat, it has come to my attention that the management raised the initial charges from 3,200 to 3,550 dollars. This is quite inopportune as I prepared myself to pay the remaining balance of 3200.

I am in profound disappointments because of the ill-timed decision of raising the charges without my consent. Notwithstanding the fact, the Ocean View Inn is under new management that has instigated the additional charges; I feel that this decision of raising the charges by 350 dollars was haste and unwarranted. The management should have communicated to me regarding the changes in costs well in advance to allow me time to prepare for the same.

To resolve the issue, I would request that you adjust the charges and revise the invoice, as the amount requested is a lot more than I expected. I am a loyal customer to your company and always enjoyed excellent services. So let us not jeopardize the strong relationship that exists between us. Please rectify the charges to enable me make the recompense.

Yours Sincerely,

Vikram …
